Degree Audit Process

Deadline for declaration or change of bachelor's degree candidacy on URSA - BEFORE 172 units for Engineering students.  After 172 units there is a Registrar fee

 

Important things to do ONE QUARTER before degree expected term including

File a Statement of Degree Candidacy form at 6426 BH

All HSSEAS Bachelor of Science degree programs require completion of at least 180 units. Specific requirements for individual majors and options are found in the HSSEAS Announcement for the year in which the student entered his or her major. Students who have questions about specific requirements should consult with their academic counselors in 6426 Boelter Hall.

In addition to completing the required coursework, students must meet minimum scholarship requirements as well. All students must attain a minimum GPA of 2.0 for all work completed, and separately for the total upper division coursework and total upper division Engineering, as well. Outstanding students may be eligible for honors at graduation. Although it varies slightly from year to year, the minimum GPA necessary for honors is normally above 3.5. Please see below for eligibility requirements and GPA cutoffs.

Deadlines for Declaration of Degree Candidacy:

Deadline for declaration or change of bachelor's degree candidacy on URSA is BEFORE 172 units for Engineering students.  After 172 units there is a Registrar fee

You may declare or change your degree expected term on URSA until second week of the quarter prior to your degree expected term.

 After second week of the term prior to your degree expected term, you must declare your degree expected term in person at 1113 Murphy Hall or complete and mail the

Declaration of Degree Candidacy form.    

Important things to do ONE QUARTER before degree expected term: 

  • Check URSA online to confirm correct degree expected term is listed. If not, then declare candidacy with the Registrar in person at 1113 Murphy Hall or complete and mail the Declaration of Degree Candidacy form.

  • File a Statement of Degree Candidacy (SDC) form for Winter and Spring degree candidates or for Summer and Fall degree candidates.

  • ·  Winter and Spring degree candidates must complete and print the Statement of Degree Candidacy (SDC) form and then file the SDC at 6426 BH beginning 4th week one term before the degree expected term.

    ·  Summer and Fall degree candidates must complete and print the Statement of Degree Candidacy (SDC) form and then file the SDC at the start of the Spring quarter at 6426 BH. If you are interested in early participation in the HSSEAS Commencement Ceremony then you must also file the request for "Special Request To Participate in HSSEAS Commencement Ceremony" form otherwise you will automatically be invited to participate in the ceremony of the academic year in which you graduate; next year. Fourth week of Spring quarter, approximately 15-20 working days of submitting the SDC, you will receive an audit of your requirements via email.

  • Declare your Technical Breadth Area on CourseWeb (if you are following a 2006-2007 or later catalog year)

    ·  AND EE, ChE, C&EE, BE & MSE Majors also declare Option/Pathway/Track on CourseWeb (if you are following a 2006-2007 or later catalog year)

  • Immediately email the HSSEAS Degree Auditor, degree_auditor@ea.ucla.edu, if there are any discrepancies to your degree audit as you will be held responsible for them.

  • Print out or keep handy the degree audit to use as your check list

  • AFTER you receive an email of your degree audit, please remember to complete your ABET survey here

  • If you intend to graduate with a minor or double major, you must be admitted to that program before your final term. Once you have completed your degree, you may not add a double major or minor.

Latin honor's at graduation eligibility criteria:

Latin honor's is assigned automatically based on all course work completed. Both the cumulative and total upper division required GPA cutoffs must be met. Also a minimum of 90 UC units must have been completed for a letter grade and the total upper division Engineering GPA must be a minimum of 3.250. UCLA does not assign individual rankings to students. If you receive Latin Honors, you have some indication of how you measure up against your peers. For HSSEAS, if you graduated summa cum laude, you're in the top 5% of your class; magna cum laude, top 10%; cum laude, top 20%.

Degrees conferred during the 12-13 academic year must meet the following GPA cutoffs for both the cumulative and total upper division GPAs:

  • Cum Laude 3.610
  • Magna Cum Laude 3.747
  • Summa Cum Laude 3.869

Degrees conferred during the 11-12 academic year must meet the following GPA cutoffs for both the cumulative and total upper division GPAs:

  • Cum Laude 3.583
  • Magna Cum Laude 3.737
  • Summa Cum Laude 3.858

Degrees conferred during the 10-11 academic year must meet the following GPA cutoffs for both the cumulative and total upper division GPAs:

  • Cum Laude 3.624
  • Magna Cum Laude 3.771
  • Summa Cum Laude 3.871

Degrees conferred during the 09-10 academic year must meet the following GPA cutoffs for both the cumulative and total upper division GPAs:

  • Cum Laude 3.630
  • Magna Cum Laude 3.754
  • Summa Cum Laude 3.844

Degrees conferred during the 08-09 academic year must meet the following GPA cutoffs for both the cumulative and total upper division GPAs:

  • Cum Laude 3.618

Degrees conferred during the 07-08 academic year must meet the following GPA cutoffs for both the cumulative and total upper division GPAs:

  • Cum Laude 3.615

Degrees conferred during the 06-07 academic year must meet the following GPA cutoffs for both the cumulative and total upper division GPAs:

  • Cum Laude 3.591

Degrees conferred during the 05-06 academic year must meet the following GPA cutoffs for both the cumulative and total upper division GPAs:

Important Information if you Received your Degree Audit

Degree Candidates are advised to review their transcripts before degree completion and immediately upon posting of final term grades. You must immediately notify your HSSEAS Degree Auditor degree_auditor@ea.ucla.edu of any failed, non-passing, incomplete or "DR" grades OR of any changes to your academic record. Your degree will be awarded upon successful completion of final coursework. On degree conferral, the undergraduate record is closed. Students may not graduate in one term and then retroactively add majors, minors, or specializations or complete course work or add/drop courses, and so forth.

Academic Residence

Of the last 48 units completed for the B.S. degree, 36 must be earned in residence in HSSEAS on this campus. No more than 16 of the 36 units may be completed in Summer Sessions at UCLA.

Students that participate in the UCLA EAP program must be aware that UCLA does not include units taken through UCLA EAP as in residence.  If you exceed the residency unit amount while at UCLA EAP, a university petition, for review and consideration, must be filed at 6426BH prior to studying abroad.

Educational Fee Reduction

As a HSSEAS student, you may be eligible for a fee reduction if you are a degree candidate for any one of your last three academic terms and are enrolled in 10 units or less in one of those terms.  If you choose to file these petitions in a quarter prior to your final term, then you will not be approved for a fee reduction in your final term.

If you wish to have a fee reduction for your final term, you must have followed the degree audit procedures outlined at Undergraduate Degree Requirements and received confirmation from the degree auditor that you need no more than 10 units to complete your degree requirements and that you will be graduating at the end of the quarter in question.   The degree auditor will inform you of the necessary paperwork to be filed.  If you wish to have a fee reduction during your last academic year, prior to your final academic term, go to the HSSEAS Office of Academic and Student Affairs, 6426 BH for more information on the petition process.

You may also be eligible for a fee reduction if you are a student who for reasons of family responsibilities or health is not able to attend full time, and needs to enroll in 10 units or less. It is presumed that your part-time student status is of a long-term nature and valid documentation must be provided. For more information on the petition process go to the HSSEAS Office of Academic and Student Affairs, 6426BH.

The deadline to file for the fee reduction is Friday of second week at HSSEAS Office of Academic and Student Affairs, 6426 BH.
You will be required to pay your full fees by the University's deadlines. If the Fee Reduction Request is approved you will receive a fee refund. The refund is a reduction of the Educational Fee by one-half and a reduction of the Nonresident Tuition Fee by one-half.

If the credit issue is with the degree audit we emailed you, then email degree_auditor@ea.ucla.edu and include this info:

If the credit issue is with your DARS web audit then please refer to the DARS FAQ here.

Degree Audit - I have not received my degree audit

You must filed a Statement of Degree Candidacy form (SDC)

And wait approximately 15-20 business days.

Then you will receive an audit of your requirements to the email address you wrote on your SDC.

Only if it has been more than 20 business days since you filed your SDC (allow an additional three weeks if you mailed the form) and you still have not received your audit, please send one email to degree_auditor@ea.ucla.edu and include this info:

Your degree expected term is the term that you plan to graduate.

 

Diplomas

Diplomas are available approximately three to four months after your degree award date.

If I file a Fee Reduction do I have to pay fees?

You are required to pay your full fees by the University's deadlines. If your Fee Reduction Request is approved, then you will receive a fee refund of one-half of the Educational Fee and one-half of the Nonresident Tuition fee for nonresidents.

Transcript submission from other Institutions for Degree Candidates


Warning: Before you enroll in coursework at another institution you must first:

1) Email the Degree Auditor at degree_auditor@ea.ucla.edu with an update of your plans

AND

2) Follow all the instructions at the Course Equivalence site here to make sure that you will receive credit for your planned course.

AND

3) When you complete transfer coursework, send your transcripts as soon as they become available to:
