Details regarding Commencement ticketing process for UCLA Engineering

 

TICKET INFORMATION
for the
SAMUELI SCHOOL OF ENGINEERING
COMMENCEMENT

Tickets are required for students participating and any guests they invite.   There are limited number of tickets and there is no reserved seating (it is general seating on a first come basis).

  • Senior Exit Survey (for UGRADS) – REQUIRED TO ACCESS TICKET ORDERING 
  • Graduate Exit Survey (for GRADS) – REQUIRED TO ACCESS TICKET ORDERING 

*After you take the survey it will take 24-36 business hours for the system to release your information for access to ticket ordering via MyUCLA

ELIGIBILITY – Who can participate in the engineering ceremony and order tickets?

You are automatically eligible to participate in the 2020 UCLA Samueli School of Engineering Ceremony if your degree term is:  Summer 2019, Fall 2019,
Winter 2020, Spring 2020, and Summer 2020 and you have followed the steps outlined below for your degree type:

UNDERGRADUATE ENGINEERING STUDENT (Bachelor of Science)

GRADUATE ENGINEERING STUDENT (Master of Science, Engineering, Doctor of Philosophy)

FALL 2020 students are not automatically eligible to participate in the engineering commencement.
Students who wish to “walk” this year must follow the Special Request instructions and are subject to review of their records.  Fall 2019 candidates who are approved to “walk” in the ceremony will not be listed in the printed 2019-2020 program.

 

UNDERGRADUATE ENGINEERING STUDENT (Bachelor of Science)
Degree Candidates must meet follow the steps below in order to access ticket ordering (via MyUCLA) and participate in the Saturday, June 13th engineering ceremony:

STEP 1 – Complete the engineering online degree audit process

You are automatically eligible to participate in the 2020 UCLA Samueli School of Engineering Ceremony if your degree term is:  Summer 2019, Fall 2019,
Winter 2020, Spring 2020, and Summer 2020.

Make sure that in MyUCLA you have the correct degree candidacy term declared and you review your privacy options for purposes of the printed program.
Please review the printed program section for details about your name listing.

  • SUMMER 2019 
  • FALL 2019
  • WINTER 2020 
  • SPRING 2020  
  • SUMMER 2020 – Submit beginning week 1 – week 3 (Deadline TBD)

 

FALL 2020 students are not automatically eligible to participate in the engineering commencement.
Students who wish to “walk” this year must follow the Special Request instructions and are subject to review of their records.
Fall 2020 candidates who are approved to “walk” in the ceremony will not be listed in the printed program for 2019-2020.

 

STEP 2:   Login to the Senior Exit Survey for undergraduates! 

  • It is the degree audit process in STEP 1 that grants access to the senior exit survey
  • After taking the survey it will take 24-36 business hours for the system to release your information to MyUCLA for ticket ordering

 

STEP 3:     ORDER TICKETS via MyUCLA.  The ordering period is TBD.  Students interested in attending the ceremony, please refer to LATE TICKET ORDER REQUESTS.

If you elect to participate and order tickets then out of respect for each degree candidate and all families and guests in attendance you are expected to remain for the duration of the ceremony until its conclusion. Please review the Commencement Day Program for details about the length of the ceremony.

GRADUATE STUDENT(M.S., Engr., Ph.D. ENGINEERING)

STEP 1:  Notify your graduate department student affairs officer of your intent to graduate

Make sure you review your privacy options via MyUCLA for purposes of the printed program.

STEP 2: Login to the Graduate Exit Survey via MyEngineering (AVAILABLE SPRING 2020)

  • It is notifying your department student affairs office in STEP 1 that grants a student access to the Exit Survey
  • After taking the survey it will take 24-36 business hours for the system to release your information to MyUCLA for ticket ordering

 

STEP 3:     ORDER TICKETS via MyUCLA.  The ordering period ended on Friday, May 17th.  Students interested in attending the ceremony, please refer to LATE TICKET ORDER REQUESTS.

If you elect to participate and order tickets then out of respect for each degree candidate and all families and guests in attendance you are expected to remain for the duration of the ceremony until its conclusion. Please review the Commencement Day Program for details about the length of the ceremony.

SPECIAL REQUEST – For Fall 2020 degree candidates who wish to “walk”

SPECIAL REQUEST PROCESS AND TIMELINE  FOR FALL 2020 STUDENTS 

UNDERGRADUATE STUDENTS  – to initiate a Special Request, please complete the undergraduate degree audit process for engineering and answer the Special Request questions of the Statement of Degree Candidacy Form no later than TBD Your MyUCLA degree candidacy must also reflect Fall 2020.

GRADUATE STUDENTS  – to initiate a Special Request, please contact your graduate student affairs officer no later than TBD.  
Your Special Request will not be processed unless your graduate student affairs officer confirms your eligibility to the Office of Academic and Student Affairs (OASA).  

NOTIFICATION & APPROVAL PROCESS BEGINS WEEK 5 Notifications are still within plenty of time to be activated for ticket ordering via MyUCLA.  ACCESS TO THE EXIT SURVEY FOR SPECIAL REQUEST IS AFTER YOU RECEIVE APPROVAL.  NOTIFICATIONS WILL BE SENT VIA MYUCLA MESSAGE CENTER FOR BS (Undergraduates) and via e-mail for GRADUATES.  Please make sure you update your spam filters to accept from the domain @seas.ucla.edu.    Please begin reviewing the ticket ordering process and all commencement related matters on this website. 

PRINTED PROGRAM   Fall 2020 candidates who are approved to “walk” in the ceremony will not be listed in the printed 2019-2020 brochure; however, their NAMES WILL BE ANNOUNCED during the ceremony as they cross the stage.  Please review the printed program section for details about your name listing for next year’s printed program.


Ticket Ordering

STEP 1: Verify your eligibility well before ticket ordering begins 

UNDERGRADUATE ENGINEERING STUDENT (Bachelor of Science)

GRADUATE ENGINEERING STUDENT (Master of Science, Engineering, Doctor of Philosophy)

STEP 2:  Login to MyUCLA
Select Academics
Select Graduation
Select Commencement

If you need assistance, in MyUCLA, click on Help (top) and select the tutorial for academics, commencement to review the ordering process tutorial.

STEP  3:  Place your ticket orders as follows:

  • STUDENT TICKET – (REQUIRED IF YOU PLAN TO PARTICIPATE): Graduating student, must order One (1) student ticket to participate in the ceremony and gain entrance to the student line up.  Select undergraduate ticket if you plan to walk as a BS.  Select graduate ticket if you plan to walk for your MS or PhD. There is no charge for a student ticket to the engineering ceremony.
  • GUEST TICKET(S) –  (REQUIRED IF YOU PLAN TO INVITE GUESTS): Students may select up to Six (6) guests tickets and be placed on a wait list* for an additional Four (4) tickets.   Therefore there is a possible total of Ten (10) guest tickets.  Engineering will review based on total attendance and space if wait list tickets will be released after the ordering period is over.  There is no charge for guest tickets to the engineering ceremony.
  • PARKING PERMIT (OPTIONAL):  If you believe you will need a parking permit you may pre-order a permit during the MyUCLA initial ticket ordering period for $12 per permit.  Students are charged for the parking permits whether or not they are picked up.
  • MAIL-OUT DELIVERY METHOD (OPTIONAL):  If you cannot pick up your tickets in person then choose the “Mail Out” option during the ticket ordering period via MyUCLA as your delivery method.  We highly recommend you go with the UPS trackable method if you can not pick up tickets in person.
    Students are charged $20 per order for UPS delivery, please verify your or update your MyUCLA mailing address before placing your order.
  • NOTE: If you elect to order tickets and participate in the engineering commencement then out of respect for each of your peers and all families and guests in attendance you are expected to remain for the entire ceremony (~3.5 hours) until it’s conclusion.  Reminder, we are live streaming this event.

STEP 4:  Review the Order Summary Page in your MyUCLA:

Your order is active until the ordering period is closed on TBD.
This means you may cancel/update/change orders in the MyUCLA system up until TBD.
We recommend you REVIEW/PRINT your order summary page so you know what you have ordered and review the billing process.

*RE: WAIT LIST TICKETS –  After initial orders HSSEAS will assess ticket orders against venue capacity and determine if wait list tickets can be released.  You should receive a notification through MyUCLA if your request for extra tickets can be filled.

Note: Sale or transfer of commencement tickets is a violation of Section 102.23 of the UCLA Student Conduct Code. Violations may subject a student to discipline by the Dean of Students, including a hold on academic records.

STEP 5:  RECEIVE/PICK-UP YOUR TICKETS

OPTION 1 – PICK-UP AT CTO (must be in-person and photo ID required)

  • At the Central Ticket Office (CTO): Monday – Thursday, 10:00 a.m. – 4:00 p.m.; Friday, 10:00 a.m. – 5:00 p.m.
  • Tickets and parking permits may only be picked up by the graduate on record. Photo ID is required.*
  • For additional information, visit the Customer Service web page – Once there, you can click on the “chat” button in the lower right-hand corner to ask specific questions.
  • Note: Sale or transfer of commencement tickets is a violation of Section 102.23 of the UCLA Student Conduct Code. Violations may subject a student to discipline by the Dean of Students, including a hold on academic records.

*FRIENDS/FAMILY ARE NOT ALLOWED TO PICK UP TICKETS FOR OTHER STUDENTS. STUDENTS WHO CAN NOT PICK UP IN PERSON ARE HIGHLY ADVISED TO CHOOSE THE MAIL-OUT UPS DELIVERY METHOD DURING THE MYUCLA ORDERING PERIOD.

OPTION 2 – MAIL OUT –  Available during the MyUCLA ticket ordering period
  • through the Central Ticket Office (CTO):
  • The cost is $20 per order.
  • TBD, orders will be sent via 2-day UPS; no weekend delivery.
    This method is trackable. A tracking number can be requested by contacting the CTO at cto@tickets.ucla.edu.
  • Orders will only be shipped to the address on file in the Registrar/MyUCLA database and
    only be sent to a continental U.S. address; cannot be sent to a PO Box;
    and require an “Indirect Adult Signature.”
  • Only initial ticket and parking permit orders will be mailed; any subsequent orders must be picked up at CTO.
  • The last day mail out requests will be accepted is TBD.
  • Note: Sale or transfer of commencement tickets is a violation of Section 102.23 of the UCLA Student Conduct Code. Violations may subject a student to discipline by the Dean of Students, including a hold on academic records.

Friends/Family are not allowed to pick up tickets for other students.  If you cannot pick up your tickets in person then please choose the “Mail Out” option during the ticket ordering period via MyUCLA as your delivery method.  We highly recommend you go with the UPS trackable method if you can not pick up tickets in person.  STUDENTS ARE ADVISED TO MAKE SURE THEY HAVE UPDATED THEIR MAILING ADDRESS via MyUCLA before placing their order.

BILLING PROCESS

During the active ordering period via MyUCLA students may select the following:

  • Student and Guest tickets (there is no charge for engineering student and guest tickets)
  • Parking Permit ($12.oo)
  • Select UPS Mail-Out Option ($20.00 via UPS) *

Charges for tickets, parking permits, and mail-out request are assessed when the order is placed in MyUCLA and processed through your BruinBill.
Once a wait list request has been approved and processed, it becomes a billable order.

Once ordered, students are charged for parking permits and mail-out requests whether or not they are picked up. NO refunds are issued.

Charges related to Commencement events will be posted to your UCLA BruinBill on or about TBD.

Charges for any subsequent orders will be posted to your BruinBill  on or around TBD.

ADDITIONAL GUEST TICKETS – Beyond those initially allotted

Contact us beginning TBD after the ticketing period is over and after wait list tickets have been released.   

We will consider requests for extra tickets (which are very limited this year).

Students who would like to be considered for more tickets beyond those initially allotted can send us a request via MyUCLA Message Center. Please include the below information in your request: 

  • Subject Heading: “Extra Engineering Samueli Tickets beyond those allotted”
  • Degree Term: (Summer 2019, Fall 2019, Winter 2020, Spring 2020):

LATE TICKET ORDER REQUESTS

For students who missed the initial ticket order period through MyUCLA.

If you missed the three week ordering period and you are requesting tickets to the UCLA Engineering Ceremony for Saturday, June 13th, please contact us via MyUCLA Message Center.
Include the following information in your message to us:

  • Subject Heading: “HSSEAS TICKETS/MISSED ORDER DEADLINE”
  • Degree Term (Spring 2020):

  • Why did you miss the deadline?
